[2:05] Hey Kevin. Hi Kurt from Los Angeles, nice to see you. Chad from Joshua’s crew — awesome. So glad that you got onboarded and you got your training. I’m just saying hey for a couple of minutes, making sure everybody who will be joining us today gets a chance to log in so we don’t miss much. So today we’re gonna talk to everybody who needs a little refresher and for our new folks about how to maximize the Small Batch System using the Done For You services. We’ve got a lot of folks who have been in Small Batch who still have questions about how to best optimize using the team of — we’ve got 20 folks on our Done For You team that work literally seven days a week to help you scale and grow your Small Batch business. We’re going to go over how to be really efficient with using those Done For You services so that you get the absolute most out of it as possible. Any step of the way, if you’ve got a question, please interrupt me.
What Small Batch Does — Cold to Warm, The Core Methodology
[3:19] Vanessa: Okay. Does ” Done For You” cost any additional money? Absolutely not. The Small Batch System Done For You services are completely included, every single bit, in your Small Batch membership. There is no cost or credit consumption. As I go through showing you how you can request a new leads list every single day, or get unlimited campaign setup for you, or spam content analysis, domain health review — every single thing I talk about today, there’s absolutely no additional charge, no up fee, no surprise “oh, now you owe us X amount of dollars.” No, nothing like that. It’s all included in your membership. Smiley face, love it. That’s the reaction I’d love to see.
[4:11] All right, so is the Small Batch System. What are we doing with Small Batch? We are turning ice cold email contacts into warm engaged prospects and customers through personal outreach at scale, right? So today we’re gonna talk about the strategy, support, and the Done For You request walkthrough — what we do and how you get it done. And my PowerPoint is acting weird so I actually had to make these PDF documents. So it’s a little wonky, so thanks for your patience. Cat, that is the membership that you’re paying for. Cat, you’re asking the right question. All of the Done For You is included in your membership, but your membership is your monthly. That’s how you remain a member.
[5:08] Cool, okay. So what does Small Batch do? It warms up an audience. Now, absolutely it is possible and it would be amazing if you plucked an email off the internet through the Done For You list generation service — someone who’s never talked to you, has no idea who you are, doesn’t know you from Adam — and you send them one email with a link and they click it and they go and they spend $1,000 and you make a lot of money. Technically, it’s possible, but that is not the core principal goal of what we’re doing. Because what we’ve got is a systemized methodology that takes a wide net and helps you capture attention and then build a relationship into a community of loyal customers, right? So you’re not just sending an email. This is an invitation, an introduction of yourself to begin a relationship with someone who does not know you yet. And this system helps cold people become interested, right? So they don’t know your name, they don’t know your offer, they don’t know why you’re reaching out. They’re, like I said, ice cold.
[6:21] This is a personal outreach where what you learn through the Small Batch System — if you’ve already gone through the course, then this will be very familiar for you — but everything about the Small Batch System is to offer a personal outreach where your message feels specific, human, easy to answer. So make sure you go through the MicroReach Mastery course. The first four modules are teaching you how to do that effectively. And then after you’ve made this contact, the goal is to have them become a warm prospect. They’re no longer cold. They’ve been receptive to your messaging. Maybe they reply or they click or they ask a question or they show real interest or they call you or they go to your website, right? That’s the goal — to begin that relationship, okay?
[7:17] So your cold email is the first hello. Small Batch helps your first hello feel personal enough that the right person wants to keep talking to you, okay? In all of the instructional course modules, you will learn how to craft messaging that does not feel spammy, that complies with all of the CAN-SPAM laws, that passes all of the spam filters, so that not only do you reach the inbox, but the emotional response that you get from readers is that they too believe that this is not spam, but this is more of a one-to-one outreach. That is covered in the course, but today we’re talking about the Done For You services, so glossing over that because we want to get everybody able to be up and running — you’re going to have some actionable takeaways from today.
[8:19] But the email, everything that we teach in the system and everything we provide in the Done For You content — like the campaigns that have already been written that you’re able to plug in and utilize — we apply all of this methodology: relevant to the person receiving it, personal enough to feel like you considered why you were writing, and it’s simple enough for them to answer, right? There’s a low barrier to entry. It feels like you’re not writing a mass email that could be going to a roofer or a plumber or a contractor or HVAC. It makes sense that you are talking to a specific person because of the way you’re speaking to them. And the Small Batch System helps you do that at scale while not losing that personal touch, okay?
[9:24] So a cold contact is more likely to engage when the email feels like it’s written for them, not blasted at them. If someone’s thirsty, you want to hand them a glass of water, not spray a fire hose in their face, right? So you are meeting them where they are at with a personal, intentional message — or something that feels like one. Because obviously these are cold contacts, you’re not continuing a conversation, you’re initiating one. But with the approach that we have developed here with Small Batch, it feels like you are solving a problem or answering a question that they’ve got because you understand the industry. The emails are specific. They give a real reason for a note. It’s human — it reads like a person to person, reaching out, building a relationship. And it’s replyable. It makes the next step simple. You’re not asking a lot of intricate questions or asking for a heavy lift or asking for money. You’re literally just engaging in a conversation to build a relationship.
[10:19] Kevin says, “Wait a minute, the email list requests are daily.” OK, I thought you were mad, but now I’m understanding, Kevin, that this is an exciting positive. Yes, I thought they were weekly. No, it is every single day, seven days a week, you can request an email list. So great news. Glad I got to be the bearer of good news.
The Engagement Amplifier — How Warm Contacts Are Identified
[10:42] Vanessa: All right, so Small Batch moves people through a simple path. This is you. We’ve built a system. If you’re familiar with Brian and my story, we’ve been working together for over 20 years. He spent 30 years in marketing. He went to college and got his master’s in finance and he’s the corporate button-up guy. He found me 22 years ago when I was a brand new mom. I was pretty young, I was 23. Gosh, that would mean that he met me 24 years ago. It’s been a long time. 23 years old, had a brand new baby, and I had realized that if I went back to work and put her in daycare, I would only net $100 a week after daycare, right? So my mom, who was really good friends with Brian, convinced him to hire me — this 23-year-old kid with absolutely zero experience — for $100 a week to help him out, answer his phone. Okay, so in the past 20-some odd years, he has taken me from, yes, answering his phones, but learning everything the hard way about internet marketing. And the reason we had to learn it the hard way is because no one had established anything yet. It was the Wild West, it was brand new in the year 2003. So what we did with the Small Batch System is we took everything we’ve learned the hard way together through the past 50 years — if you put his 30 and my 20 together, 50 years of experience on how to make email marketing effective. We’ve concentrated it down into this course and these Done For You services.
[12:37] And it is: you choose a target, personalize your message, send your message, you follow it up. When I come to you and I tell you that that’s how simple it is, but it took us 50 years between the two of us to come up with it, it’s a little upside down. But it really did take doing things incorrectly so that we could sit here and tell you this is the right way to do it. This is the effective way to do it. And when you are able to do it at scale, that’s where the real progress and business building is made, right?
[13:11] So engagement tells you who is warming up. Does everybody remember, and are you familiar with, the term “the Engagement Amplifier” in the Small Batch System? Let me — tell me in the Q&A box, just yes. Yes, I know what the Engagement Amplifier is, just yes. Okay, Kurt does not remember, so I will review. Thank you, Chad, I’m glad you like that. Okay, Tony does know. All right, so the thing that Brian and I figured out over the past, let’s just call it 20 years together, right? Since we’ve been working together, the trick is not to just flood an inbox with hypey, flashy, clickbaity messages. Can it work in the short term? Probably, but you’re gonna burn your domain. Does everybody know what that means? Burn your domain. It means people are gonna report you as spam and Google and the internet service providers — the internet gods — are gonna go “uh-uh, nope, nope, nope, nope.” Nobody likes to hear from this person. They’re hawking snake oil, nobody wants to get this email, they’re complaining about this email. Google wants to keep their email-box people happy so they keep using Gmail, so they do everything they can to squash that spam, right?
[14:44] Also, Google wants to identify if you are selling things successfully via email because they don’t want you to do that. They want you to pay Google for ad space. They want you, a marketer, to pay Google to be at the top of the search. Look at a search engine lately. Is it the website where people go to the most or has the best answers? No, they all say “sponsored.” Google is motivated on both sides of the coin to make it so your email that is building your business, trying to generate revenue, does not ever get seen.
[15:15] Okay. So what Brian and I learned is that the way you must progress through your business in order to grow is to come in softly, gently, quietly, in small batches. That’s hence the name. Brian will tell you we’re not very creative sometimes. I just like to be straightforward. We come in targeted, personal, small batches. We stay under the radar while playing the Google game and obeying all of the rules, but we don’t present as sales and marketing, okay? That’s the cold email outreach that’s not spammy. That’s how you avoid the filter where they do the inbox, socials — promotions tab. Thank you, Karen. Promotions. You take a batch of 100 emails, we clean it for you and that narrows it down to about 50 or 75, and so that’s a small batch.
[16:49] We need to get really good at providing value. It makes sense. That’s absolutely right, Chad. Engagement tells you who’s warming up. So we learned that you have to get out of the promotions tab, out of the spam, you have to be seen, but then something needs to happen. It’s not enough to just be seen — to identify the people that you are building this relationship with, you have to be able to quantify their engagement. Okay, so when we first started out back in the olden days, reporting was not as automated as it is today. You can imagine the meticulous spreadsheets and the sorting and the things I did. But every single email I sent for Brian — again, 20 years worth of data has brought us to this — we quantified what actions a recipient of an email could take to tell us how interested they are in the content of that email, us as a sender, and how likely or viable they are as a continued prospect, and how much energy we wanna put into building this relationship.
[17:59] We call it the Engagement Amplifier. What that is, is an automated programming of doing all of that, and it’s built inside your Small Batch CRM. What I did manually is I would go through all of the emails I sent. Let’s say I sent 10,000 — and I would look at everybody who opened, and then I would look at everybody who opened and clicked, and then I would look at everybody who opened and clicked and replied, or went to my site and filled out an opt-in form, or filled out an opt-in form and then bought a product that was offered after the opt-in form, or everyone that opened and clicked and went to my website and filled out an opt-in form and watched a video. And I quantified all of this, and then I would segment for Brian and his CRM — we used Infusionsoft — I would manually tag everybody who did action A, I would tag everybody who did action B, I would tag everyone who did action A and B but not C. You can imagine this is very tedious, but I did it.
[19:04] So when we came together and we’re like “there has to be a better way — and how do we share this functionality and make it actually manageable and possible for people to use?” We built the Engagement Amplifier, and it’s built within the Small Batch CRM, and that’s the only place it’s built. So I can teach you the methodology — everything I just told you, you can absolutely manually do. But if you’re using the Small Batch CRM, this happens automatically for you. When you send an email, the system is watching everything that that recipient of the email does and then weighing it and putting that recipient in a bucket from cold to warm, from warm to hot, etc. So that behind the scenes, all of that segmentation and labeling and evaluation is constantly happening for you. And that is the Engagement Amplifier. It was absolutely, again, no additional cost — that is built into your CRM. But that is the knowledge and wisdom and experience of Brian and I built into the DNA of the Small Batch System, all happening in real time for you. You don’t even have to activate it.
[20:30] Chad, I’m very glad you like it. Thank you. Kurt says, cool. Great, okay. Any questions about that before I move on? So everything I talk about after that — I just need you to know the Engagement Amplifier, if you’re using the Small Batch CRM, is doing that in real time behind you in addition to everything else we’re about to talk about.
The Three Lanes — Find People, Send a Personal Intro, Track Engagement
[20:47] Vanessa: Okay, great. So if you want to take that small batch and that engagement monitoring and scale it up, that’s what we’ve got here. But the first step is that you have to make that connection. If you can’t get someone to visually see your email because it doesn’t land in the inbox, then you can’t progress to new engagement. When you see the message and they don’t, it doesn’t resonate. It doesn’t feel like you, right? “Why did I get this? This doesn’t apply to me.” They don’t engage, they don’t reply, they don’t make a phone call, they don’t go to your website. So it has to be engagement-worthy, engagement-triggering, palatable, valuable to the recipient. And you have to be able to repeat the process. Could you imagine sending a one-to-one email 50 times a day, 100 times a day to different people and then monitoring and managing how they’re responding, keeping track with a little pen and paper — “okay, this person called me back or this person clicked or this person opted out” — right? So it has to be personal and it has to be repeatable. And that’s what we’ve got going on today.
[22:10] So we’ve got three lanes that make the system work. You find the right people, you send a personal introduction, and they respond to interest and we track the engagement, right? That makes sense. It’s like a simplified — it all seems so simple when we break it down like that, but those are the nuts and bolts.
[22:30] Chad, yes — the Small Batch System is built on the Go High Level interface, but in order for us to provide the Engagement Amplifier and all the workflows and all of the nuts and bolts of making this happen, you have to start with a Small Batch CRM and then you can, because we’ll install everything. It allows us to do the Done For You services. And then we can help you migrate it into a Pro account. So if you already have an existing Go High Level account, we can’t build it on an existing one. But remember the Small Batch CRM is not an additional fee. It’s included in your Small Batch membership. So go ahead and request it to get set up and let us build it for you, right?
[23:19] All right. So we wanna start with contacts who match the market and the message. And I’m gonna show you how to request your list — yes, every single day — of the people you wanna talk to, right? The MicroReach Mastery training course teaches you how to craft a personal introduction, or you can use any of the hundreds of emails that we have created in the Done For You campaigns. You can just choose one and use it. But they all have a personal touch that introduces you. And some have an offer. And we’ve been building a lot lately. Our longtime friends can attest — we continually test new approaches and things that are working. And you’ll hear me refer a lot to the three-touch call-to-action reply or a five-touch call-to-action reply sequence. It’s a new approach with no links. So you’ll hear us talk about those emails. But you send a personal introduction, an email with the sole goal being some level of engagement. So you’re casting a wide net just to see whose eye you can catch, whose inbox you can get them to open, etc., and then we monitor the engagement so we know how to move forward.
The Done For You Menu — Step-by-Step Walkthrough
[24:44] Vanessa: So, support helps the system keep moving. All of this is a whole lot of work, you can imagine. I did it manually by hand myself for all of those years, but for you, we have the Done For You services, right? So you guide the relationship, but our team helps with the setup, organization, and campaign work that makes scaling possible. So this allows you to learn the system with a dedicated, informed, expert support staff. Like I said, we’ve got 20 folks whose day in, day out is setting up these email accounts, setting up these campaigns, pulling your lists. So while you’re learning the system, we are actually doing the hard part for you. And that will allow you to start small with one campaign a week. And then when you really get your feet solidly under you and you’re ready to scale up — Chad had asked about a Pro Go High Level account. Yes, when you are ready to move things up and run 10, 20, 30 campaigns at a time, or you get 5,000 warm email addresses because your Engagement Amplifier has been helping you identify your warm contacts, when you’re ready to scale up — and we will never rush you to do that, because it does involve securing a Go High Level Pro account that is not paying Brian Anderson. [26:29] The system works best when direction and support work together. So we have a very simple, clear-cut methodology for requesting and performing Done For You services. And I’m gonna walk through them with you on this call. It is not asking me on Facebook to send a campaign. It is not sending in a support ticket and saying “hey, can I get a list?” They are very simple checklists, request forms, and that puts it in queue for our team, and then we take care of it for you. And I’m gonna show you how to use them, okay? So you just need to use the right request to keep the process moving, okay? Some things are one-off, but a lot of them work in a very specific flow.
[27:15] How many campaigns can you run without the Pro High Level? Scott asks, great question. Without a Pro — with the included Small Batch CRM — it is one campaign at a time. But that campaign can be 20 emails long. So you could send an email every single day for 20 days in a single campaign. It just is one campaign for one sender at a time.
[27:39] All right, so our goals with the system and the Done For You are to set the foundation. You’re gonna get your account set up correctly. We’re going to protect your sending, we’re going to warm up your account and establish your sending reputation. We’re going to check your message. We’re going to make sure anything you send is CAN-SPAM compliant and not triggering any of the spam AI bots that put you into the Promotions tab — not Prospect. You got me, Cat. Then we’re going to feed the system. We’re going to keep giving you those fresh contacts so that we can keep churning and churning and churning, like feeding coal into an engine. You’re going to load up the campaigns so that your customers are getting these personal messages. I do definitely recommend a 5-10 touch campaign, not just one blast email at a time. And we’re going to fix your domain. Any setup issues you’ve got with the SPF, DKIM, and DMARC, we take care of all of that for you.
[28:47] We’re going to use the Done For You menu one step at a time. If you have not already, be sure that you’ve requested your included Small Batch CRM. Leonard, I’m going to get to that in the Done For You answer, so let me do it in order so we don’t jump around. How many warmed-up email addresses do I need to use your Done For You service? None. Come in ice cold with Done For You. You don’t need any warmed-up email. Now, do you mean sender addresses? I’ll talk about that in the Done For You process.
[29:17] All right, so the steps are basically — make sure your CRM is set up, request your list every single day, we’re gonna warm up your sender address, you just need one to get started, then we’re gonna show you how to set up your campaigns and monitor your domain health. Okay, the very first step — when you log into your members area, across the top nav menu you’ll find “Done For You.” You’ll also see that I’ve got a bunch of big old buttons — “Done For You service here,” “Complete Done For You system walkthrough here.” I really tried to make it very, very easy to find the Done For You menu.
[29:58] Kevin, yes, I’ll talk about that. But yes, to answer your question — we’re going to start by clicking on the Done For You header. Of course, it’s very, very small. Maybe I can make it bigger. I cannot make it bigger. But across the nav bar it just says MicroReach Mastery Course — be sure you’ve done that. The Members Only Workshop — that’s where you’ll find the recordings of just like what we’re on today. Then you’ll find the Revenue Generators dropdown right here. That’s where we share different affiliate opportunities for you to mail out to earn a commission. It’s just a place for you to find offers to share. Resources are various tools and things that we think will help you. And then you’ll find the Done For You dropdown menu. So it is a dropdown menu, or you can click on the actual letters D-F-Y to go to the primary Done For You page. And every single page has a little mini training on that specific Done For You service. And the Done For You page gets you started on Done For You as a whole. So use the navigation bar to open the Done For You request options. Start here whenever you’re ready to go, okay?
Step One — Request Your Small Batch CRM
[31:10] Vanessa: First up is to request your Small Batch CRM. If you haven’t already done so, I recommend — or rather implore you to do that today. Let our team build this for you. It is built on the Go High Level infrastructure. We set everything up. There’s a quick questionnaire form. There is information that we require from you in order to set up the CRM. We can’t do it with just your name and email from your joining of Small Batch. So there is additional information, like the name of the business and your mailing address that complies with CAN-SPAM. Once you go through the MicroReach Mastery, the first four sessions, it teaches you all about how you can represent yourself online and be CAN-SPAM compliant because you do have to provide an address. One of the solutions if you don’t want to share your home address, if you don’t have a business office, is getting a virtual mailbox. So, all of those solutions for how to represent yourself online via your Small Batch CRM are included in those first four modules of the course that I highly recommend you go through. But just answer the quick questions on this form. You can change any of the information at any time, but do allow us to go ahead and get started building this for you so that you’re not delayed just because you’re deciding on what address to show, right? Let us build the CRM for you.
Step Two — Request a New List Every Single Day
[32:42] Vanessa: Next — request a new list every single day. This is the second dropdown on the menu right here. Everybody see? Use the lead generation request when you need fresh contacts for the Small Batch System. You don’t have to request every single day, but if you skip days, we won’t go back and give you something like “I haven’t requested in five days so I get five lists.” No. It’s a one and done every single day — use it or lose it. And that is just to ensure that the Done For You team can manage their bandwidth, right? They come in to work and they see that they have a hundred requests. They knock out those hundred requests. It’s not feasible for them to come in and get a hundred today and a thousand tomorrow and still be able to provide the service for all members equally and fairly. So it is a use-it-or-lose-it situation.
[33:39] Marcus, yes. And I’ll talk about that when we talk about revenue generators, but that is also explained on the Revenue Generators page. Because it’s not that Brian is giving you a product to sell. He’s recommending an affiliate campaign that you could go join. Okay, I’m sorry — Marcus’s question was “do we have to request affiliate links for those offers?” Yes. So it’s not that you are now an affiliate of Brian. It’s that Brian says “hey, this is a really great affiliate program.” Maybe Josh has a product like Surfly, then he has a launch and we say “hey, all the Small Batch folks, this is a great product for you to use Small Batch to promote. Go here, sign up with Josh, get your link, mail your link.” Does that make sense, Marcus?

Step Three — Warm Up Your Sender Account
[35:13] Vanessa: Okay, so request a new list every single day, use it or lose it. Okay, so warm up your sender account. When you send an email, you have to do so — when you’re using Small Batch, you have to do so from a domain that is not free, like not gmail.com. So for example, if I started Small Batch today, and that today is my first training call, I would get off the call and I would go buy VanessaRoberts.com. This is my domain. I then need to set up an email address. Notice I didn’t say CRM. Notice I didn’t say sign up for Small Batch CRM. I didn’t go to Instantly, I didn’t go to Brevo, I didn’t go to Infusionsoft. I just bought my domain and I’m creating an inbox for me to send and receive regular old email. Like I could email my husband, I could email my daughter, I could email my Brian, right? Okay, so I got a domain, so I set up an email.
[36:19] The first thing that you’re gonna do is come here to this dropdown under Done For You — account warmup. What you do is you give us the user ID and password to log into your — and we call it native email inbox. Okay, not your CRM, not a Go High Level. I could email my cat if my cat had an inbox. So you give us the username and password for this native email inbox. Everybody understands — not a CRM, just as if you were going to email your cat, okay? Our team — we’re going to email this litter box. We don’t want to go to the trash though. So our team goes into your native email inbox and we send hundreds of emails from you, not a CRM, just you as a person on your brand new domain, to — I think we’ve got 50 inboxes that are accounts that we own and control, okay? So you — brand new sender, brand new domain, zero reputation — have just sent hundreds and hundreds of emails.
[37:44] What is Google looking at? Are the emails that you send desired, or do they cause people to be unhappy, right? So we — because we own these 20 or 30 email inboxes that are receiving all of your messages — we open the message, we click the link, we reply, we add you as a safe sender, we mark it “never spam,” if it showed up in the promotions tab, we slide it over. All of these are indicators that Google is using their own version of an Engagement Amplifier to monitor, and they see that hundreds and hundreds of emails being sent by this new sender on this new domain, every single one of them were well received, not a single spam report, not a single bounce. Everyone got opened, everything got clicked, everything got saved as a contact, everything was marked to never spam. This instantly boosts your reputation and solidifies the foundation as a sender that the messages you’re sending are valuable and well received. Does that make sense?
[38:51] And we do that not out of a CRM, very intentionally. This is you as a sender on a new domain. So this native email is the one that will be used for the Small Batch System emailing eventually. Yes, that is absolutely correct. This is your sender email account. And once it’s warmed up, or after you’ve requested the warm-up, this is the same address that we will build your Small Batch CRM on. Okay, so those things are happening simultaneously. You tell us the domain and the email address, we log in and we warm it up, and at the same time your CRM — we’re building it around the same domain. So all of these things are happening at the same time to benefit you so that you have a strong foundation, okay? And you’re requesting your lists every day. So the email warm-up takes about five to seven days, the establishment of your CRM takes one to three, and you’re requesting your list every single day. So your first five days with the Small Batch System are gonna be pretty busy with these requests.
[40:01] Kevin says, “So if I have a product or service to offer and run a campaign on a Small Batch System, would I have to upgrade the CRM to be able to also send out any affiliate campaigns?” If you want to send out multiple campaigns at the same time — basically different emails to different people all at the same time — yes. That would be when you’re ready to do that, when you’re ready to scale up. That is a purpose that you would have for a Pro account, yes. Can we warm up all three of the emails that we are allowed on Small Batch at one time, Connie? Yes. Yes.
Step Four — Set Up and Launch Your Campaign
[40:26] Vanessa: All right, next step. So you’ve got your list, you’ve got your CRM, your account has been warmed up, you’re ready to go. You’re ready to launch your first campaign. And what’s a campaign? It’s a series of emails all on a single topic that builds a story, builds a relationship, builds a rapport, because the emails are sequential and they’re going to the same person on a set schedule. When I say campaign, that’s what I mean. I do not recommend spray and pray, blast and pass where you just write one email, send it to all the contacts and then never touch it again, right? Everything we talk about is a multi-touch campaign designed from start to finish to build a narrative, build an arc that compels a relationship to be built.
[41:21] Okay, so here’s where we turn a selected list — start messaging them in an organized outreach fashion with the goal to be, and I want everybody to remember, the goal is to take someone through the Engagement Amplifier system from ice cold perfect stranger to a warm, engaged prospect that you’re building a relationship with that is going to become a customer, right?
[41:54] So what do we do? You have the campaign that’s provided for you, or you can write your own content. And we have one of the Done For You services — the content CAN-SPAM and spam trigger analysis. So if you’re not using content that has been provided to you from the Small Batch System — we have a library, an extensive library of already spam-triggered and cleaned content emails — you can use those. But say you’re using a revenue generator and you are working with Josh and Josh gives you a campaign to sell his products. They call it email swipe. Before you jump in to use it with Small Batch, you can use our service of the content CAN-SPAM spam trigger analysis to see — Josh is a stellar promoter, I’m not in any way saying that his content would trigger spam — but if any partner, any source, if you buy a campaign off the internet, you can do that, you want to write your own — we always want to run it through a content analysis so that we can tell you “hey, this is what we would change to be absolutely safe as possible hitting the inbox.” Right?
[43:10] And if you are sending emails — this is not necessarily a required step in the flow — but after you start sending emails, if you start seeing that your deliverability has started to falter, simply ping us with the domain health analysis. We will investigate the status of your domain, and we will identify anything that could be wrong with it that would be hurting your deliverability, and we will produce a report and we’ll advise you how to fix it. A lot of times, it’s things that we don’t have access to fix for you. You might have to call the support staff of the place where you bought your domain, for example, or go with their chat and give them some instructions of some things to correct. But we give you all of the information on what to do, what to say, and anything we can fix, we do fix for you.
[44:03] So we have to buy a domain, we can’t use a Gmail account, Leonard. Yes, that is correct. For CAN-SPAM compliance and spam trigger analysis, etc. — sending bulk amounts of email through a free domain like yahoo.com, outlook.com, or gmail.com, it’s a big no-no. So yes, you do have to have your own domain. And the great news is, once you buy that domain, we will help you set it up, right? So remember, the first step is to buy your domain and set up your native email account so that we can do an account warmup.
[44:36] If you’re not familiar with establishing an email account on a new domain, I know this is a little techy. Some folks, they can do it like the back of their hand — setting up an email, they’ve gotten pretty easy to do. And a lot of places where you buy your domain just do a real simple walkthrough with you to set up a webmail. But if you have any trouble whatsoever, we do provide the domain setup, and this includes all of the DMARC, SPF, DKIM-related setup for security. One of the modules in the MicroReach Mastery course does dive very, very deeply into how — what do these letters mean? You’ll hear me refer to it as “alphabet soup.” What do these letters mean? Why are they so important? And basically it proves who you are on the internet. It protects you from being spoofed by other people. And it tells Google and the internet service providers — when they’re looking at your email and deciding whether or not to put it in the inbox or the promotions or the spam or the junk — it establishes you as a real person and is literally the black-and-white difference a lot of times on deliverability.
[45:52] “To any domain provider you recommend that’s easiest to work with?” I have worked with GoDaddy exclusively my entire life. My mom taught me how to work with URLs and domains 20 years ago, and she liked that Danica was the race car driver and she was a spokesperson for GoDaddy. So she exclusively used GoDaddy, and so I cut my teeth. But I do find that they have the absolute best support and their solution when you have a problem is “hey, I’ll just do it for you,” which really takes a lot of lift off. Advertising works. Yeah, it’s funny that I ended up being in marketing because I am a sucker for a good ad, right? Facebook reels or an impulse buy at the cash register — like ooh. So yeah, I definitely can say advertising works. It works on me.
Q&A — Managing Your List, Campaigns, and Going Pro
[46:55] Vanessa: So, that is our Done For You menu. Are there any questions about the services that we provide Done For You services for? We can dive deeper into each individual one as we go. But I want to make sure that everybody understands the basic steps for getting started and where to go for any help you need to request a service.
[47:29] “I’m unclear on my role during the one-week warmup.” Mike, all you need to do during the one week — so on day one, let’s say you start today — make sure you have your domain and you’ve chosen an email address. Like my example was that I bought VanessaRoberts.com. I could then establish the email address Vanessa@VanessaRoberts.com. So what I would then do once I have my domain is I would come and I would request an account warmup, and I know that that takes five to seven days. So I’m going to check that off my list, that’s going to happen in the background. Then I’m going to request my list for the day because I’m going to request my list every single day. Then I’m going to request that my CRM be set up so that I can eventually, once my account is warmed up, start sending emails from Vanessa@VanessaRoberts.com. So that’s day one. I think we’re talking 30 minutes worth of work there.
[48:28] What I recommend you do for the next Tuesday, Wednesday, Thursday, Friday — what you do this week — go through the course. Go to your smallbatchsystem.com. Log in and take the MicroReach Mastery course. The first four modules teach you the mantras, the reason — why do we take this approach? Why does this approach work? How do we craft a message? How do we build a rapport? Why do we use Small Batch? What is a small batch? How do we go about everything? So it should take — it’s four modules, about an hour each — but do go through the course. Everything we talk about from today forward is going to be hinged on understanding what is taught in those four modules. What is CAN-SPAM? What are the email security principles, etc.
[49:39] After you take the course, if you don’t already know what you want to sell, decide. Okay. One thing we talked about is the FinTitan FICA tax credit opportunity that Brian has offered exclusively to Small Batch members. Go to the FinTitan FICA credit page. The steps to become an agent are that you have to sign a non-disclosure agreement, you have to sign an agent agreement, and then you’re assigned a link. And then there’s another — we have sessions every Wednesday where I train you on how to be a FinTitan agent because this is exclusively for Small Batch System members. But not all Small Batch System members have opted to join and sign the NDA and sign the agent agreement. We don’t train FinTitan agents in the Small Batch group. Okay, so we have to segment them out. But if you’re interested in that and that’s what you want to promote with the Small Batch System, that’s how you get started.
[51:05] If there’s something else — if you want to offer local marketing services, if you already are an affiliate for another product, if it’s bulletproof coffee or shakes or it could be anything you want — I tell people you can sell Girl Scout cookies with a Small Batch System. Once you decide what your message is, that’s when you move on to step two — start preparing your content. You’ll go to the “request a campaign” inside your members area on the Done For You, and all you do is you choose 100 people, you segment your list. At this point you could have 10,000 contacts from your daily lists, but you choose the 100 that you’re ready to start talking to. That’s your first small batch. You segment out your list and you go to the Done For You form and you give us — there’s a place to upload a little file. I have a list, 100 people. Our team will take that list of 100 and we run them through my email verifier. We make sure that there’s no spam traps, no bounces, etc., and we take out the 50 to 75 pristine, excellent, verified email addresses and we load them into your Small Batch CRM or the CRM of your choosing. What we’re doing right off the bat is you can trust that every single email in your Small Batch CRM is clean and validated.
[52:39] Then on that same Done For You request form, after you tell us the 100 people that are going to be in this campaign, you tell us what campaign. You can select from one of the campaigns that are listed Done For You. You just type in the name from the library, or you can say “I have my own campaign.” Here’s where you would load up — for example, a campaign that Josh provided you if you’re supporting Serpfly, or a FinTitan FICA email campaign if you’re running a FinTitan agent campaign, or if you want to sell Girl Scout cookies and you’ve written your own content and we’ve run it through the CAN-SPAM analysis, you upload that campaign that you want us to run. Then you say “I want to start next Monday.” Our Done For You team gets this request form. We see that we have 100 people — that’s the list we’re going to clean, who we’re going to talk to. We know what we’re going to say because you’ve given us the campaign and any customizations that you want to have, any personalizations, etc. And we know that we are going to set this up to start running automatically on Monday. Those are the three pieces of information you need for the Done For You campaign, Mike. So we get all of that set up so that once your email address is totally warmed up and your CRM setup is complete and you’ve gotten your list and you’ve decided what you wanna say, you sit back and starting next Monday, those emails that we’ve set up for you automatically start going. And all you have to do is check in with your Small Batch CRM and watch as your contacts filter through and you see the ones that start getting tagged as warm and hot because the Engagement Amplifier is going to do that automatically. It’s going to kick off the moment the very first email in your campaign gets sent.
[54:29] He says awesome, so I think I did. Are there any follow-up questions to that?
[54:34] “Is there any easy way to move the ones we’ve emailed to another tab or something? We may still have 200 other contacts that are in our list that we also want to mail.” Okay, Kat, I think what you’re asking me is how do you manage your own CSV file that we give you? So we give you 1,000 contacts, for example, on a daily list, and you choose 100. Tell me if I’m right — you’re asking me how do you identify you’ve already used 100 out of this unless you don’t want to use them again, right? Yes, you could cut them out of one tab and paste them into another. That’s one way. And again, this has nothing to do with a CRM. This is just managing your own Excel file. So if everybody’s listening — what I would do is I would highlight the 100 that I’m gonna put in, like select them, rows 2 through 101, right? ‘Cause you got your header row. I would color the cells a different color. And then I would copy them and I would open a new CSV and I’d paste them into the new CSV. And then that’s the CSV file, the Excel file that I’m attaching to my Done For You request form to tell the team “these are the 100 I want to contact.” And then when I go back to my original list of 1,000, I see that the first 100 rows are grayed out or marked in green for money. So I know when I come back the next time, I’m gonna start with row 102. Make sense, Kat?
[56:06] “All right, I have two domains that are similar — one is shorter and then the other. I want both email addresses to be qualified, but I forgot how to do a second email address.” Correct, absolutely yes. To have two emails set up in your Small Batch CRM, you do need to upgrade to Pro because the Small Batch CRM supports one sender. So if you want some help with that, you can send me a ticket, or we’re gonna do that on another call. But also, under — I can tell you there’s like some self-serve help on this in the navigation bar.
